How PickMeUpTime uses your information

Parsa Rohani operates PickMeUpTime. You can create a calendar for a child or an adult and ask other account holders to help with pickups and drop-offs. This notice explains what information we use, who can see it and how you can manage it.

Account and calendar information

We store your account name, any profile details you add and the identifiers supplied by your sign-in provider. We may display your verified sign-in email and provider profile picture to identify your account. New password accounts require an email address. We email a verification code and verify ownership before creating the account. We store the verified address, salted password hashes and hashed temporary verification codes rather than readable passwords or codes. MeshAgent mail delivers verification and password reset emails.

We also store the names of people on your calendars, event titles, dates, locations, imported notes, notes you add, checklists, sharing permissions, invitations, trip requests, replies and comments. Please include only the sensitive information you need for the plan.

Sharing and messages

The calendar organizer chooses who can see each person's schedule. Invited people sign in and accept access. Editors with full access can change plans. A trip assignment can also give someone access to its event. Removing someone in Sharing revokes their calendar permissions and assignments.

People who can see an event can read its shared notes. Comments on a trip response go to the calendar organizer and editors with full access. MeshAgent mail delivers calendar invitations, trip requests, replies and reminders. You need a verified email address to receive assistant messages and trip notifications by email.

Phone notification previews can include the person's name, event title, ride times, location and response status when you have access to that event. Notes and response comments are not included in phone previews. You can control whether notification previews appear on your Lock Screen in iPhone Settings. Emails may include the event details, shared notes and bring-along items you can access. Previously delivered messages may remain on your devices or in your mailbox after access changes.

Optional AI email assistant

The AI email assistant is optional. To use it, enable Allow AI email assistance in Settings → Assistant & reminders → Email assistant. When you send a request, MeshAgent and OpenAI process your message, timezone, relevant conversation history and calendar details for the requested period. Those details can include names, events, notes and trip plans. Only calendars your account can access are included.

You must review and confirm a suggested change before it is saved. Receiving or opening an email does not save a change. You can turn AI assistance off to stop future requests to the model. This does not undo processing already submitted or turn off calendar sharing and ordinary notifications.

When the assistant uses its private conversation fallback, it keeps history to understand follow-up requests while calendar access and the schedule context remain valid. Direct email does not have a separate stored conversation thread. We may keep processing records and temporary suggestions so requests can be handled reliably and reviewed. Please do not email passwords or medical or other sensitive details that the assistant does not need.

Optional calendar connections

Signing in with Google or Apple does not import your calendars. The calendar organizer gives permission separately, previews events and confirms any import from Google Calendar, a GameChanger subscription or iPhone Calendar.

Google Calendar permission lets us read calendar names and events, including titles, times, locations and descriptions. We use this information to let you choose and preview events, copy the events you confirm into a person's calendar and refresh the connection. We do not edit your original Google calendar. For iPhone Calendar, you grant calendar permission and choose the events to import.

Imported Google events and their notes are visible to people with access to the calendar you import them into. The AI email assistant can process imported event details you have access to only after you give separate consent. We do not use Google data for advertising or model training. Google refresh tokens and private subscription links are encrypted.

Disconnecting a calendar removes the stored connection access. Events you already imported stay until you remove them or delete the calendar or account. Removing an imported event leaves the original unchanged and skips it on future syncs from that connection. Reconnecting the source may import it again.

How we protect calendar data

Connections to the app use HTTPS. We encrypt Google refresh tokens before storing them. You must sign in to access calendars, and we check your permissions whenever you read calendar data or make a change. Removing someone's access revokes those permissions.

On iPhone, we store your sign-in session in Keychain and your offline calendar cache in encrypted device storage. People you give calendar access to can see imported event copies. Check your sharing settings before importing sensitive events.

Our use of information received from Google Workspace APIs follows the Google Workspace API User Data and Developer Policy, including its Limited Use requirements. We do not use or transfer raw or derived Google user data to develop, improve, or train generalized or non-personalized AI or machine-learning models. If you separately enable the optional AI email assistant, authorized calendar details may be processed by MeshAgent and OpenAI solely to answer your request or prepare a proposed calendar change for your review.

Infrastructure and device information

MeshAgent hosts the app and provides storage, databases, AI routing and mail. Apple delivers iPhone push notifications. We store device tokens used for notifications and records of notification status. The app records your timezone for answers involving dates and times. It does not track your GPS location. You can change the assistant's timezone.

On iPhone, sign-in sessions use Keychain. Calendar data you can access may stay cached on your device for offline viewing. We keep operational logs and delivery records for security and troubleshooting.

Optional iPhone Today widget

If you enable the Today widget, the app saves a limited schedule summary on your iPhone for display on the Home Screen. It can include names, event titles, trip times, response status and confirmed helper names. It does not include event locations, notes or sign-in credentials. Consider who can see your Home Screen before turning it on.

The saved summary uses protected device storage and is excluded from backups. Saved plans expire after 15 minutes or at the end of the day. Widget refresh timing is controlled by iOS. Signing out or turning the widget off removes the saved summary. If another person removes your access while your device is offline, previously saved details may remain visible until the summary expires or the app checks access again.

No advertising

The app has no advertising or third-party tracking SDK. We use calendar information for the scheduling features you request and, if you enable it, AI assistance. We do not use it to target ads. Turning off AI assistance does not erase information that service providers have already processed.

Information about people on schedules

Calendars can include adults and children. Only add or share someone else's information if you have authority to do so. The organizer chooses each account holder's access and can remove it in Sharing. Someone does not need an account just to be included in a pickup or drop-off plan.

Deletion and retention

We keep account and calendar information in active storage until the organizer deletes the calendar or account, except for records needed to provide the service. You can delete a person's calendar or your account in Settings. You will be asked to confirm or verify your sign-in.

Deleting your account ends your sessions and removes your account records and the calendars you manage. If storage is temporarily unavailable, deletion is queued and finishes when access is restored. Information in provider backups and operational logs may remain under their retention policies and legal obligations. Emails already delivered remain in recipients' mailboxes. Contact support if you have questions about access to or deletion of remaining information.
